Stamp Cards

Digital stamp cards help you strengthen the bond with your clients. Create templates with custom icons and colors, assign cards to contacts, and collect stamps — manually or automatically after appointments.


Templates

Create as many stamp card templates as you need with custom icons, colors, stamp counts, and optional therapy type links.

Stamping

Collect stamps with a single click — directly on the icons, like a star rating. Multiple stamps at once are supported.

Automatic

Enable auto-stamping to automatically add a stamp after each completed appointment.

PDF Export

Export any stamp card as a compact business-card-sized PDF — with your logo, brand colors, and icons.


Stamp card templates are managed under Settings > Stamp Card Templates.

  1. Create a new template

    Click “New Template” and enter a name (e.g. “10-Stamp Physiotherapy Card”).

  2. Choose an icon

    Select from a palette of pre-made icons (paw, heart, star, horseshoe, bone, water drop, and more). You can also upload a custom PNG icon (with transparency) — this is available after saving the template for the first time.

  3. Set a color (optional)

    Choose a custom color for the stamp card. If left empty, your team color is used automatically. The icon color (light/dark) is calculated automatically for readability.

  4. Number of stamps

    Define how many stamps are needed to fill the card (e.g. 5, 10, or 20).

  5. Therapy type (optional)

    Link the template to a specific therapy type. When set, auto-stamping only counts appointments of that type.

  6. Auto-stamp

    Enable this option to automatically add a stamp after each completed appointment.

  7. Reward description (optional)

    Describe what the client receives when the card is full, e.g. “1 free therapy session” or “20% off the next treatment”. This text is shown once the card is full.


Stamp cards are assigned per contact (pet owner) — regardless of how many animals the contact has.

  1. Open a contact or animal and switch to the Stamp Cards tab.
  2. Click New Stamp Card and select a template.
  3. Optionally: Add a note (e.g. “Starting March 2026”).

There are several ways to add stamps:

  • Single stamp: Click the ”+ Stamp” button or click the next empty stamp circle.
  • Multiple at once: Click directly on a further empty circle — all stamps in between are automatically set (like a star rating). A hover preview shows which stamps will be set.
  • Remove a stamp: Hover over the last active stamp — it becomes transparent. Click to remove it.

When “Auto-stamp” is enabled on the template:

  • After each appointment whose end time has passed, a stamp is automatically added.
  • If the template is linked to a therapy type, only matching appointments count.
  • If a contact has multiple matching active cards, all are stamped.
  • Double-stamping is automatically prevented.

Once a stamp card is full, the Redeem button appears. After redeeming:

  • The card is marked as “Redeemed” with a date.
  • A new card for the same template can be created.
  • The defined reward (e.g. “1 free therapy session”) is displayed.

Click the clock icon on any stamp card to open the stamp history. There you can see:

  • Whether each stamp was set manually or automatically
  • Which user stamped (for manual stamps)
  • Which animal the stamp was for
  • Date and time

Every stamp card can be exported as a business-card-sized PDF (86 x 54 mm). Click the download icon on the card.

The PDF contains:

  • Page 1 (Front): Practice logo, “Stamp card of [Name]”, template name, practice contact details, and date.
  • Page 2 (Back): Stamp grid with the chosen icons (filled/empty), stamp count, and optionally the note.

The PDF uses the stamp card color (or team color as fallback) and custom icons if uploaded.


In the overview of an animal, the active stamp card of the associated contact is shown as a compact mini view. You can stamp and unstamp directly there — without switching to the stamp cards tab.

Clicking the mini card navigates to the full stamp cards tab.


Can a contact have multiple stamp cards at the same time? Yes, but only one active card per template. Different templates can be active in parallel.

What happens when I delete a template? Templates with assigned cards are automatically deactivated instead of deleted. Existing cards remain active.

Can I undo a stamp? Yes, the last stamp can be removed at any time — on active and full cards. Not on redeemed cards.

Are automatic stamps set for cancelled appointments? Auto-stamping is triggered when an appointment’s end time is reached. There is currently no cancellation check.
