Prerequisites

• LexWare Office XL – The API interface requires the LexWare Office XL package
• TheraTap subscription – The LexWare Office integration is included as a feature in your plan

Connecting LexWare Office

1. Open settings

   Navigate to Settings → LexWare Office.

2. Enter API key

   Enter your LexWare Office API key. You can find it in your LexWare Office account under the developer settings.

3. Configure invoice settings

   Set the default values for your invoices:

   • Invoice title – e.g., “Animal Physiotherapy Treatment”
   • Introduction text – Text that appears at the top of every invoice
   • Closing text – Text at the end of the invoice (e.g., payment instructions, thank you message)

4. Verify connection

   After entering the API key, a green badge indicates that the connection was successfully established.

Tip

Set the introduction and closing text once. These texts are automatically applied to every invoice draft and save you time with each invoice.

Sending an Invoice to LexWare Office

You can transfer treatment data to LexWare Office from several places:

From a Treatment

1. Open a completed treatment
2. Click the action menu (three dots)
3. Select Send to LexWare Office
4. An invoice draft with the treatment data is automatically created in LexWare Office

From the Invoice View

1. Open an invoice in TheraTap
2. Click Send to LexWare Office
3. The invoice draft is created in LexWare Office
4. Via the direct link, you can open and edit the draft directly in LexWare Office

What Gets Transferred?

When transferring to LexWare Office, the following data is automatically carried over:

Data	Description
Contact data	Name, address, email of the pet owner
Treatment details	Date, type of treatment
Invoice texts	Your configured introduction and closing text

In LexWare Office, you can then adjust the draft as needed, add line items, and finalize the invoice.

Disconnecting

To disconnect the LexWare Office connection, remove the API key in the settings. Previously transferred invoice drafts remain in LexWare Office.

Frequently Asked Questions

Are contacts automatically created in LexWare Office? Yes, if a contact does not yet exist in LexWare Office, it is automatically created on the first invoice transfer.

Can I define invoice line items in TheraTap? The basic data is transferred. Detailed invoice line items and prices are added in LexWare Office.

What happens if the connection is interrupted? You will receive an error message in TheraTap. In that case, check whether your API key is still valid and your LexWare Office account is active.
